If you do not appear, the fare is gone. Operator terms read 15 September 2026 set the free wait at 15 minutes at a hotel, 30 at a station and 40 to 90 minutes at a terminal. One terms page states both 40 and 90. If the driver fails, the same terms owe a full refund.
Yes, and the charge is normally the whole fare. Your Transfer 24 makes a booking a no-show, and therefore non-refundable, the moment you fail to reach the meeting point inside its waiting time. Airporter puts that in the same sentence as a cancellation received 24 hours or less before the pickup time and refuses a refund for either, unless the driver was at fault. Both pages read 15 September 2026.
The trouble is that no-show names two different events. It names the passenger who never arrives, and it names the driver who never arrives. The first costs you everything you paid. The second owes you all of it back, and sometimes the taxi you had to buy instead. Booking pages describe the first at length and the second in a single line, so most people land knowing half the rule.
Which half applies is settled by two numbers, how long the free wait lasts and when it starts counting. Neither is standard. Two of the operators read here print two different free waits on the same page, and across all of these terms the hotel figure and the terminal figure differ by a factor of six.
How long does the driver wait before I count as a no-show?
Between 15 and 90 minutes, and the pickup type predicts it better than the operator does. Every set of terms read here treats a hotel doorstep as a short grace period and an arrivals hall as a long one. One assumes a lobby, the other assumes immigration, a carousel and a walk to the rank.
The third column is the one that catches people, and almost nobody tabulates it. Gatwick Taxi Transfer spells out why it matters, its free window runs from the moment the wheels actually touch the runway and not from the scheduled time printed on your ticket, so a flight landing 90 minutes late still gets the full period at no extra charge. The same window measured from a scheduled arrival would have expired while you were taxiing to the gate.
World Transfer Services splits its airport window by flight type, 60 minutes on an international arrival and 45 minutes on a domestic one, both counted from the plane landing, with 15 minutes at a hotel pickup. Its terms also carry the condition that decides more disputes than any number, that leaving the pickup location without contacting the bookings office is itself a no-show.

Why does one terms page give two different waiting times?
Because the clauses are written at different times and never checked against each other. Minicab Airport Transfer prints both numbers on its terms page, read 15 September 2026. One clause allows 40 minutes free from the landing time, the docking time or the pre-agreed pickup time. A later clause says the driver will wait in the arrival hall up to 1 hour 30 mins from flight landing time. The page never reconciles them, so which clause a dispute lands on is not something you can tell before you are in one.
Gatwick Taxi Transfer has a quieter version of the same problem. Its refund table decides a no-show on whether the driver attended, waited the full free waiting period and attempted contact, without ever attaching a number to that phrase. Further down the same page the number appears, 45 to 60 minutes of free waiting counted from actual touchdown. Same page, same day, two levels of precision.
None of this is hidden, it is simply never printed next to itself. That is why every figure here carries the date it was read and the page it came from, set out in our method.
What if the driver never showed up?
Then the same operators owe a full refund of that leg, and one of them will also cover the difference on the transport you buy instead. The condition attached is near identical everywhere, and it is the one readers fail. Make contact before you give up and walk away.
Airporter states it in those words. If you are at the pickup location at the pickup time, the driver is not there within 15 minutes and nobody has contacted you, then "before you leave the Pick-up Departure Location" you must contact the company on the details in your confirmation, and the driver too if you were given their number, and you should provide any evidence that you tried. If the driver no-show is due to the fault or neglect of the transport provider or the driver, the refund is full. Leave first, call from the train, and that evidence never existed.
Minicab Airport Transfer goes one step further. Where the transfer cannot be supplied, its terms state that the passenger can arrange alternative transport and that the company is liable to refund the full amount and to reimburse the differential fare, provided you submit proof of payment. No receipt, no difference.
The deadline is shorter than people assume. Gatwick Taxi Transfer wants a driver failure raised within 14 days. Airport Transfer, based in Leuven, gives you 48 hours to dispute a no-show marked against you, with evidence such as a screenshot of a call or text message, and will not investigate one reported more than 7 days after the scheduled transfer.
What do I do in the terminal to keep the refund alive?
All of this is free, takes under two minutes, and decides whether the leg is refunded or forfeited. Do it from the baggage hall, before you walk outside.
Every step assumes your phone works the moment you land, which is where travellers come unstuck. If you are arriving somewhere your plan does not roam, how a travel eSIM works covers getting data before you clear the gate. Other dated readings of what operators charge and refund sit in the blog.
Report the delay inside the window, not after it. A delay reported while the free wait runs is a delay. Reported afterwards it is a no-show. Your Transfer 24 grants its full 60 minutes for flight, immigration and luggage delays only if you notify it immediately.
Write, do not only call. A message leaves a timestamped record. Airport Transfer names a screenshot of a call or a text message as the evidence it wants when a no-show is disputed.
Do not leave the pickup point first. World Transfer Services charges the no-show fee for leaving the pickup location without notifying its bookings office, whatever the reason.
Note the time, the terminal and the meeting point. A contested claim turns on whether the driver was at the right location, and large airports have several.
Keep the receipt for what you take instead. Minicab Airport Transfer reimburses the difference on a replacement fare only on submission of proof of payment.
Complain in days, not weeks. Assume 48 hours to dispute a no-show against you and 14 days to report one against the driver.
What should I check before I book a transfer?
Four things, all quicker than the booking itself, and any one of which can be worth the whole fare.
The free wait is a specification to compare, like a luggage allowance, not a reassurance to skim. Between two equal quotes, 1 hour 30 minutes from touchdown beats 40 minutes from a pre-agreed pickup time, and the price rarely reflects it.
The free wait in minutes, and the page it is printed on. Where two clauses on one page disagree, plan around the shorter number until the operator confirms the longer one in writing.
What the clock starts from. Actual landing protects you against a delayed flight. A scheduled arrival does not, and on a long delay the difference is the whole window.
The contact number, stored offline. A refund that depends on reaching the operator before you leave depends on having the number without a signal.
The cancellation cutoff, measured from pickup. Airporter counts its 24 hours back from the pickup departure time, not from midnight, so a late-night booking for a dawn pickup can already be inside the window.
Will I get a refund if I miss my airport transfer?
Almost never. Every operator's terms read for this piece treat a passenger who does not appear within the free waiting window as a no-show and keep the full fare. Gatwick Taxi Transfer puts the reason in writing, the vehicle and driver were held for you and turned away other work. The exception is a failure by the driver or the company, which is refunded in full.
How long does an airport transfer driver wait for me?
Between 15 and 90 minutes depending on the pickup point and whose terms you accepted, read 15 September 2026. Hotels and private addresses cluster at 15 minutes from the booked time. Railway stations run to 30. Airport terminals run from 40 minutes to 1 hour 30 minutes, usually counted from the landing time.
The transfer driver left without me, can I get my money back?
Yes, if the failure was theirs and you contacted the operator before leaving the pickup point. That condition is close to universal. Refunds cover the affected leg in full, and Minicab Airport Transfer also reimburses the differential fare on the transport you bought instead, on proof of payment. Report it quickly, because Airport Transfer investigates nothing after 7 days.
Does the free waiting time start when my flight lands or when it was scheduled?
It depends on the operator, and this is the variable that matters most on a delayed flight. Gatwick Taxi Transfer counts from the moment the wheels actually touch the runway rather than the scheduled time on your ticket, so a flight landing 90 minutes late still gets the full window. Minicab Airport Transfer also counts from the landing time.
Am I a no-show if my flight is delayed?
Not for a delay in the air, provided you stay reachable. Gatwick Taxi Transfer tracks your flight number from the departure airport and the driver adjusts automatically. Your Transfer 24 grants its full 60 minutes for flight, immigration and luggage delays only if you notify it immediately. You become a no-show by going quiet, not by landing late.
What proof do I need that the driver never turned up?
A timestamped attempt to reach the driver and the operator, made from the pickup point before you left it. Airporter asks for any evidence that you tried to contact it, and Airport Transfer names a screenshot of a call or text message. Add the time, the terminal and the meeting point you were at, plus the receipt for whatever you took instead.
